POSITION SUMMARY

The Staffing Coordinator is responsible for managing staffing needs and ensuring that all shifts are adequately covered. This role involves close collaboration with Staffing Managers (SMs) to prioritize and fulfill staffing requirements through internal and external recruitment efforts.

  • Thursday – Monday (consistent schedule)

ROLES AND RESPONSIBILITIES

  • Staff Assignment and Coordination:
    • Each Staffing Assistant (SA) will be assigned Staffing Managers (SMs).
    • Participate in morning catch-up meetings to discuss staffing priorities and provide insights on SA priorities with input from SMs.
    • Provide a clear handover on Fridays detailing tasks to be completed over the weekend.
  • Job Fulfillment and Recruitment:
    • Primary Objective: Support in generating a steady stream of applicants through internal and external outreach methods if SMs are unable to fill positions with known and trusted staff.
  • Internal Outreach:
    • Send out blasts via 1CRM for staffing gaps, including Formstack links (subject to change).
    • Republish job postings on 1CRM as needed.
  • External Outreach:
    • Research and post job listings on suitable Facebook groups and job boards (e.g., Indeed, culinary-specific boards for CDS).
    • Explore and cost out potential influencer partnerships if the budget allows.
    • Offer suggestions for improving outreach and recruitment strategies.
  • Applicant Communication:
    • Support in making calls to applicants if necessary, especially for high-volume gaps, ensuring that SMs handle the final booking and briefing of staff for their activities.
    • Additional Responsibilities:
    • Conduct check-ins and rebook shifts as needed over the weekend.
    • On Sundays, approve Saturday shifts they were responsible for in the 1CRM Time and Attendance system.
    • On Mondays, approve Sunday shifts they were responsible for in the 1CRM Time and Attendance system.
    • Build new job listings in 1CRM.
    • Follow up with staff who have not completed pre-training quizzes or recaps.

QUALIFICATIONS / REQUIREMENTS

Education:

  • High School Diploma

Experience:

  • Ideally, 1-3 Years of Customer Service/Staffing & recruiting experience.
  • Capacity to handle multiple projects, deadlines, and complex tasks in a fast-paced setting. Along with attention to detail, persistence, and follow-through.
  • Excellent computer/software skills using Microsoft Office (Outlook, Excel, Word, and PowerPoint), Salesforce, Asana, SharePoint & more.

  • Comfortable with talking on the phone and the ability to carry on a business conversation with decision-makers

  • Honed project management skills, including time management and great attention to detail.

PHYSICAL REQUIREMENTS

  • Ability to sit and stand for long periods of time while completing work on a computer
  • Ability to lift ten (10) or more pounds
  • Ability to move throughout the workplace
